What we collect through this website, why, how long we keep it, and how to have it deleted.

Who we are
Sky416 Solutions is an IT services business based in Richmond Hill, Ontario, serving the Greater Toronto Area. You can reach us at info@sky416.com or 647-969-6900. We are the organization responsible for the personal information described here.
What we collect, and when
We collect personal information only when you give it to us. There are four places that happens.
Contact form
Your name, email address and message, plus optionally your phone number, business name, number of staff and which service you are interested in. We also record which page you submitted from and any campaign parameters in the link you arrived through.
Website quote form
The same core fields, plus optionally your current website address, the package and platform you are considering, and a budget range.
Email security check
Running a check stores the domain you entered and the time you ran it, and nothing else. It is not linked to you. If you then ask for the full report by email, we collect your name and email address at that point, and only at that point.
Analytics
We use Cloudflare Web Analytics, which counts page views without cookies and without building a profile of you across sites. If we later add Google Analytics, this policy will be updated before we do.
Why we use it
- To reply to your enquiry and, if it goes further, to quote and deliver work.
- To keep a record of our conversation in our business email, so the context is there if you come back to us later.
- To send you occasional practical IT tips — but only if you ticked the marketing consent box, which is never ticked for you in advance. Every marketing email has an unsubscribe link, as Canada’s anti-spam legislation requires.
We do not sell your information, and we do not share it for anyone else’s marketing.
Who processes it
We use a small number of service providers to run the site and our business. Your information may be stored or processed by them, including outside Canada, which means it may be subject to the laws of the country where it is held.
- Cloudflare — website hosting, form handling, spam protection and analytics.
- Microsoft — our email, and the booking page if you use it to schedule a call.
- Resend — delivering form submissions to our inbox and sending you a reply.
Form submissions go to our own email inbox. We do not currently use a customer relationship management platform, so what you send is not loaded into a marketing database or scored by anything.
Spam protection uses Cloudflare Turnstile, which checks that a submission comes from a real browser rather than an automated script.
How long we keep it
- Enquiries that do not become work: kept for up to two years, then deleted. People often come back a year later, and losing the earlier context helps nobody.
- Client records: kept for the length of our relationship and for seven years after it ends, which is what Canadian business record-keeping expectations require.
- Email security check logs: domain and timestamp only, kept for twelve months.
- Marketing list: until you unsubscribe, or until you have not engaged for two years.
How it is protected
Access to our systems requires multi-factor authentication and is limited to people who need it to do the work. Data sent to and from this site is encrypted in transit. We apply to ourselves the same practices we recommend to clients, which is a low bar to clear and one a surprising number of providers do not.
Your rights
Under Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) you can ask us what personal information we hold about you, ask us to correct it if it is wrong, withdraw your consent to marketing at any time, and ask us to delete what we hold — except where we are required to keep records for tax or legal reasons.
Email info@sky416.com and we will respond within 30 days. There is no charge for a reasonable request.
If you are not satisfied with how we have handled a privacy question, you can complain to the Office of the Privacy Commissioner of Canada at priv.gc.ca.
Cookies
This site does not set advertising or tracking cookies. Cloudflare may set a cookie strictly to protect the site from automated abuse. Nothing here follows you around the internet.
Changes
If this policy changes in a way that affects how we handle information already collected, we will say so here and update the date at the top.
